Creating an Evaluated Academic Requirements report

About the Evaluated Academic Requirements Report

The Evaluated Academic Requirements Report is a tool for UBC students who are thinking about declaring a specialization or transferring to a different program of study at UBC. The report can show you how your academic progress would carry over or be impacted by the change. It helps to answer the question, “What if I changed my program to this?”

For example, you might wish to change your primary program, also referred to as your major or specialization. Or, you might want to add or change minors, honours, or second majors, known as secondary programs.

Here are some things to keep in mind:

  • The Evaluated Academic Requirements report shows what your progress in a new degree program or specialization would be based on your current academic progress and registered courses.
  • Report results are informational only to help in your degree planning. 
  • Your report will reflect the most up-to-date program requirements.
  • You can have up to 10 Evaluated Academic Requirements reports in your Workday account at a time. If you create more than 10, your oldest report will be removed from the system. 
  • You can only test your academic requirements for a new program of study, not for an individual course registration. 

How to create an Evaluated Academic Requirements report 

First, go to your Academics app 

  1. Log into your Workday account at myworkday.ubc.ca
  2. Click the “Academics” tab in the “Your Top Apps” menu on the right side of the page.

Next, go to your academic requirements

On the right, in the “Academic Planning” menu, click the “Evaluate Academic Requirements” link.

Your current programs of study will be displayed in a table format: 

Create a report for a program of study you’re thinking of transferring to

First, scroll down to the “Evaluate Programs of Study” section. By default, this section will be set to your current program(s) of study.

If you are thinking of changing majors or specializations

Your major or specialization is known as your primary program of study.

  1. Remove your “Program of Study” in the first row by clicking the ‘x’ icon.
  2. Search for and select the new program of study (major or specialization) you’re thinking of transferring to. Be sure to include your degree in your search (e.g. B.A. Major in Sociology).
  3. Make sure the “Is Primary” box is selected.
  4. Keep the “Requirements Effective Date” as is, which is set to the current date by default.
  5. Click the orange “OK” button. 
  6. Click the “Done” button to run the evaluation, which will create a report for you in the background.

If you are thinking of adding a minor, honors, or second major

Minors, honours, or second majors are known as secondary programs of study.

  1. Keep your primary program of study in the first row and make sure the “Is Primary” box is checked.
  2. Click the (+) icon on the left corner of the table beside “Program of study”. A new row should be created.
  3. In this new row, search for and select the secondary program of study you are thinking of adding.
  4. Make sure the “Is Primary” box is not selected for this row.
  5. Keep the “Requirements Effective Date” as is, which is set to the current date by default.
  6. Click the orange “OK” button. 
  7. Click the “Done” button to run the evaluation, which will create a report for you in the background.

If you are thinking of changing your minor, honours, or second major

Minors, honours, or second majors are known as secondary programs of study.

  1. Keep your primary program of study in the first row and make sure the “Is Primary” box is checked.
  2. In the row with your secondary program of study, click the ‘x’ icon to remove the program.
  3.  Search for and select the new secondary program you’re thinking of changing.
  4.  Make sure the “Is Primary” box is not selected for this row.
  5.  Keep the “Requirements Effective Date” as is, which is set to the current date by default.
  6.  Click the orange “OK” button. 
  1.  Click the “Done” button to run the evaluation, which will create a report for you in the background.

If you encounter an error

You may receive a “Page Error” if you do not select a primary program of study. Please make sure the “Is Primary” box is checked for your main program of study in the “Evaluate Programs of Study” table.

You may receive an “Error – Bundled With” alert if you select an additional program of study, like a second major or minor, but do not select a primary program of study to bundle it with. 

To resolve this issue:

  • Make sure your additional program of study is on its own line below your primary program of study.
  • Keep the “Is Primary” box unchecked for the additional program.
  • Find and select your primary program of study in the “Bundled With” field.

Find your evaluated academic requirements report

After you’ve run your chosen evaluation, you can access your “Evaluated Academic Requirements” report results in one of three ways:

  • Pop-up notification
  • Notification menu
  • Academics app

Pop-up notification

A pop-up notification will appear at the top right of the page once your report has been created. Click the link in the notification to view your report.

You can also find the new reports in your notifications inbox.

  1. Click the bell icon in the top right corner of the page to go to your notifications inbox. 
  2. Click the report notification in the list of notifications.
  3. Once the notification message is open on the right, click the “View Details” button to review your report.

Academics App 

You can access a list of all your previous Evaluated Academic Requirements reports in the Academics App if the notifications are resolved. This is also the place you can see Evaluated Academic Requirement reports your academic advisor may have run for you.

  1. Follow the steps above to go to the Academics App. 
  2. Under the “Academic Planning” menu on the right, click the “View Evaluated Academic Requirements” link. 
  3. In the pop-up window, select the Evaluated Academic Requirements report you want to view from the drop-down menu.
  4. Click the orange “OK” button to display your report. 

Review your academic requirements

The date and evaluated program of study are displayed at the top of the report. 

Review your results, which look and work like a regular Academic Progress Report, to understand how a change in program would impact your academic progress.
